Prepare before the portal opens
Online application windows are short and the website is busiest near the deadline. Preparing documents in advance reduces mistakes and stress. Many candidates lose a chance not because they are unqualified but because a certificate is missing or a name does not match.
Identity and personal details
Government photo identity such as Aadhaar, as accepted by the notice.
A working mobile number and email address that only you control.
Date of birth proof, normally the secondary or matriculation certificate.
Education and experience
Mark sheets and certificates for each qualification the notice requires.
Final-year or appearing candidates should read the cut-off date for qualification in the notice.
Experience certificates if the post requires them.
Category and special claims
If you claim reservation or relaxation, keep the correct certificate: caste, economically weaker section, non-creamy-layer, disability, ex-serviceman or domicile. Check that the certificate is in the format and financial year the notice demands, and that it is issued by the competent authority.
Photographs and signatures
Each notice states the file size, format and appearance of the photograph, signature and any declaration. Scan with a plain background, keep the face clear and sign in the style the notice prescribes. Some recruitments ask for a live photograph during application, so test your camera and lighting.
Names must match everywhere
Compare the spelling of your name, father's name and mother's name across your certificates, ID and application. If there is a mismatch, correct it or prepare an affidavit as the rules allow before you apply.
Payment readiness
Keep a working payment method and a note of the fee for your category. Pay only through the portal link. After payment, download the acknowledgement and fee receipt.
Organise a digital folder
Create one folder with subfolders for identity, education, category and images. Name files clearly and keep a copy on a second device. Create a paper folder with the originals in the same order, because you will need them at later stages.
Before you click submit
Review every field slowly, then save a PDF of the final form. Note the application number and the correction window, if the body offers one. If you notice an error later, use the correction facility within the stated dates.
A one-evening preparation routine
Set aside one evening before the application window opens. Lay out the originals on a table in the order of the form: identity, date of birth, education from the earliest to the latest, then category and special claims. Scan each one, rename the files clearly and check them on a larger screen to make sure the text is readable. Resize the photograph and signature according to the notice and keep a copy of each at a different resolution in case the portal rejects the first. Finally, write on a sheet the exact spelling of your name and the key dates as printed on the certificates, so you can copy them into the form without guessing.
What to do if a certificate is missing
If a certificate is not yet available, apply for it immediately at the issuing office and keep the acknowledgement. Read the notice to see whether the certificate must be held on the last date for applications, on a cut-off date or only at document verification. If you cannot meet the requirement, it is better to know before you pay the fee.
A note on sources
This is general preparation guidance written by the ExamPragati editorial team. It is not a recruitment notification. Pattern, eligibility and dates differ between exams and years, so confirm them in the current official notice before you plan your calendar.
